Job reports and time-and-materials sheets: what to put on them so nobody disputes the bill

A report is not a form, it is an argument. These eight details decide whether the invoice goes through or starts a conversation.

Reports are usually experienced as paperwork. They are the opposite: they are the reason a time-and-materials invoice gets paid without anyone phoning. A good report answers the customer's questions before they are asked.

The sentence that makes the difference

Most disputes are not about the hours but about the description. "Various works, 6.5 hrs" is an invitation to argue. "Old coating sanded down, two coats of primer in the first-floor stairwell, 6.5 hrs" is an answer.

The rule of thumb: the report must still make sense in three months, when nobody remembers what it was about — and be readable by someone who was not there.

The signature on site

The customer's signature right after the work is the most effective protection against later arguments. Anyone who only sends an invoice at month end is negotiating about something the customer has long remembered differently. Anyone who gets a signature on site does not negotiate at all.

What works in practice: do not ask for "a signature", but show the report and say what was done. The confirmation then becomes the natural end of the conversation rather than an extra demand.

Photos beat any description

Two photos — condition before, condition after — end arguments that take a week in words. Especially for work you cannot see afterwards: under the floor, behind the cladding, in the shaft. All that matters is that the photos hang on the job and do not sink into somebody's phone gallery.

The three most common mistakes

All three mistakes share a cause: capturing and working happen at different times. That is not a question of discipline but of tooling. What takes thirty seconds on the phone at the site gets done. What needs a slip of paper, a pen and a quiet minute gets postponed.
